Refund & Cancellation Policy

This Refund & Cancellation Policy explains how fees, payments, cancellations, and refunds are handled for professional services provided by Bestax Accountants “Bestax,” “we,” “our,” or “us”.

It applies to clients who engage us for accounting, bookkeeping, tax, audit, business setup, payroll, and advisory services.

This Policy should be read together with the engagement letter or service agreement for your specific engagement. If there is any conflict, your signed engagement letter prevails.

Nothing in this Policy limits any rights you may have under applicable consumer-protection law, including the Ontario Consumer Protection Act or the Quebec Consumer Protection Act where they apply.

1. Engagement and Fees

The scope of work, fees, and payment terms for each engagement are set out in a quotation, proposal, or engagement letter agreed with you before work begins.

Fees may be charged as a fixed fee, on a milestone basis, on a monthly retainer, or based on time spent, as specified in your engagement.

Unless otherwise agreed in writing, fees are payable in advance or in accordance with the payment schedule in your engagement.

2. Government and Third-Party Fees

Some services, particularly business and company registration, government filings, and similar services, involve fees paid to government bodies such as federal or provincial corporate registries or the CRA, or to other third parties on your behalf.

These government and third-party fees are non-refundable once they have been paid to or incurred with the relevant authority or third party, even if an application is delayed, rejected, or withdrawn, because these amounts are outside our control and are not retained by us.

3. Deposits and Advance Payments

Where a deposit, advance payment, or retainer is collected, it is applied toward the fees for your engagement.

Deposits may be non-refundable to the extent that work has commenced or that we have incurred costs or committed resources on your behalf, as set out in your engagement letter.

4. Cancellation by You

To cancel an engagement, please notify us in writing at info@bestax.ca. The amount refundable, if any, depends on the stage of the work when you cancel:

  • Before work has commenced: professional fees paid may be refundable, less any non-refundable government or third-party fees already paid or incurred and any reasonable administrative charges.
  • After work has commenced: we are entitled to retain fees proportionate to the work performed and costs incurred up to the cancellation date. Any remaining balance, if applicable, is refunded.
  • Completed or filed services: fees for services that have been completed and/or filed are non-refundable.

5. Cancellation by Bestax

We may decline to begin, or may suspend or end, an engagement where required information or documentation is not provided, where applicable professional or regulatory requirements cannot be met, where fees remain unpaid, or where continuing would be unlawful or contrary to professional standards.

In such cases, we are entitled to charge for work performed and costs incurred up to the date of termination.

6. Requesting a Refund

To request a refund, contact us in writing at info@bestax.ca with your engagement details and the reason for your request.

We will review eligible requests and respond within 7–14 business days.

Approved refunds are processed using the original payment method where possible within 7–14 business days of approval.

Third-party payment-processing fees, bank charges, or currency-conversion differences may be deducted from the refunded amount.

7. When Refunds Are Not Available

Refunds will generally not be available where:

  • The service has been completed or filed.
  • Non-refundable government or third-party fees have been paid or incurred.
  • A delay or issue is caused by inaccurate, incomplete, or late information provided by you.
  • Applicable onboarding or regulatory requirements are not met.

8. Consultations and Appointments

Initial consultations offered free of charge carry no fee and may be rescheduled or cancelled at any time.

Where a paid consultation or appointment has been booked, please provide at least 24 hours’ notice to reschedule or cancel. Missed appointments or late cancellations may not be refundable.

9. Payment Concerns and Chargebacks

If you have a concern about a payment, please contact us first so we can resolve it directly.

Initiating a chargeback without first contacting us may delay resolution.

10. Changes to This Policy

We may update this Policy from time to time. Changes will be posted here with a revised “Last Updated” date and will apply to engagements entered into after the change.
